Videoconferences
The Media Center is equipped to receive videoconferences by satellite
and transmit via the campus closed-circuit system to the following
locations Media A, Media B, Media Seminar Room and the Shults Center
Forum. Videoconferences should be requested a minimum of one month
in advance and are accepted on a first-come, first-served basis.
The Media Center has downlink capabilities only. Therefore, we are
only able to receive videoconferences and cannot transmit by satellite
to another site.
The Media Center staff is responsible for:
Ordering the license and registering for the videoconference. (The
Library normally pays for one-half the cost of the licensing fee
when a Nazareth College department sponsors the videoconference.)
Technical aspects: satellite reception and transmission via campus
closed-circuit system, fine-tuning of video and audio signal, communicating
with technical support personnel from videoconference origination
site.
Delivering and setting up equipment, in selected location, necessary
to transmit locally and project video and audio component of the
videoconference.
Providing access to phone, fax or computer for participant question
submission to videoconference origination site.
Video recording the videoconference, if license permits, and arranging
for the video recording to be added to the media collection.
Forwarding promotional materials (site coordinator's guide, participant
materials, etc.) to the videoconference facilitator.
The videoconference facilitator is responsible for:
Supplying the Media Center with account information for billing
purposes (department sponsoring the videoconference pays one half
the cost of licensing fee).
Selecting and reserving room as well as setting up desired seating
arrangement appropriate for anticipated audience. Please note that
the Forum must be reserved through the Shults Center Information
Desk.
Promoting event and coordinating attendee registration.
Greeting guests and introducing the program.
Duplicating and distributing videoconference materials. Providing
any other supplies such as nametags, pencils, etc.
Developing any wrap-around programs such as panel discussions.
Ordering refreshments and /or arranging any other food service.
Ordering any additional equipment such as microphones for panel
discussion or host.
Assisting participants with question transmission during the interactive
question and answer segments of the videoconference.
Collecting evaluations and sending to videoconference origination
site.
Having a back-up plan. When dealing with technology, there
are no guarantees - be prepared in the event of technical difficulties
on either end of the videoconference. For example, there have been
instances where atmospheric conditions have prevented satellite
reception of a videoconference.
TIPS
Step one:
Check with Media Center to verify that the satellite dish is available
for that time.
Step two:
Select and reserve a location for the videoconference.
Step three:
Forward information to Media Center for license ordering and proceed
with above planning.
Programs start promptly at the designated time. Pre-conference
activities therefore should be scheduled accordingly. For example,
if you want to welcome guests and give a brief introduction, advertise
the start time in advance of the conference to give guests enough
time to arrive and your introduction to take place.
Remember to be aware of the time zone. For example, if a videoconference
is originating on the West Coast with a start time of 9:00 a.m.,
it will begin here at 12:00 noon.
