FACULTY LIBRARY and MEDIA SERVICES - OVERVIEW

Requesting New Library Materials

The primary purpose of the collections of the Lorette Wilmot Library and Media Center is to support teaching, research, and learning at Nazareth College. While the library faculty and professional staff have ultimate responsibility for development and maintenance of the library’s collections, in practice you, the faculty of the academic departments and programs, are the most important factor in the collection development process.

Faculty recommendations for purchase of library materials are essential to ensure that the collections fulfill this purpose from three perspectives. First, faculty know what library materials they need to support their teaching and research. Second, faculty know the scope of student assignments requiring use of library materials. Third, faculty understand the importance of current research as well as historically important research in their disciplines, and this expertise is important in maintaining a longitudinally sound collection in disciplinary areas. Thus we depend on both full-time and part-time faculty to request books, periodicals, videos, DVDs, CDs, and other library materials that will meet these needs. The Acquisitions Librarian (Ms. Janet Smith, jsmith12@naz.edu, 389-2124) maintains a list on the library’s website of selected databases, including Books in Print with Reviews, directories, and retail websites to assist faculty in selection and verification of materials in a variety of formats. Faculty may ask the reference librarians to compile a selective bibliography of works on a given topic as an aid in collection development.

Academic departments receive allocations from the library budget for new books and videos. (The Music Department also receives a budget for new CDs.) In some departments the department chair or a library liaison faculty member coordinates ordering, while in others individual faculty members submit recommendations directly to the Acquisitions Librarian; please check with your chair to ascertain your department’s guidelines. Materials should be requested at least one semester in advance of their desired use. Materials that you desire to retain for extended periods of use should be purchased with departmental, rather than library, funds.

Borrowing Materials from the Library and Media Center

Books from the general collection that are checked out to faculty are due on June 1st of each year (the due date changes on May 1st of each year - all books checked out from that point are due June 1st the following year). This extended loan period does not apply to special categories of books (e.g., reference and rare materials which are handled on a case by case basis), McNaughton Books (three week loan period), or other formats of materials such as periodicals or media items. Should someone else need a book, it will be subject to recall after an initial three-week protected period. All users are encouraged to return books and other library materials once no longer needed, even if not as yet due.

On May 1st we send out “Statements of Checked Out Items” to all Faculty. This acts as a convenient reminder to return or renew items on the list. Books may be renewed in person or by phone (call 389-2129). Please have your ID with your library barcode ready when renewing books. In compliance with state and federal privacy laws, we cannot discuss information in your library record without proper ID. By phone, the only identification we can accept is your library barcode. If Faculty plan on having a book on loan for an extended time, and it is a book that may need to be available to students, we suggest that they order another copy, so there will be one available for circulation.

If the book you are looking for is currently checked out, you may place a hold on it at the circulation desk. Once a hold has been placed, the current borrower will not be able to renew the book. You will be notified as soon as the book is returned. If a book is not on the shelf when you look for it and if it is listed in WebPAC as "check shelves," please inform us. Library staff will look for the book and notify you of the result.

Faculty members may borrow materials that normally do not circulate outside of the Library. Requests to borrow reference books should be made at the Reference Desk for evaluation based upon current demand. Requests to borrow periodical issues or back volumes should be made to the supervisor on duty in the Reserve/Interlibrary Loan/Serials Department, and will be for a maximum period of two weeks. Most media materials may be circulated to faculty; requests for borrowing exceptions may be made at the Media Center circulation desk.

Barcode

The main floor Circulation Desk of the Library will add a library barcode to your Nazareth College ID card to facilitate borrowing materials; you also will need to have a library barcode to access many of our electronic resources from off-campus, as well as to use e-reserves and the library’s public-access computers.

Serials

The serials collection, with the exception of newspapers and current journal issues, is in closed stacks. Users generally request journal issues, volumes, and microforms at the Reserve/Interlibrary Loan/Serials (RILS) desk. However, you and your students may access the closed stacks at any time by asking at the RILS desk. You will be asked to “sign in” to the stacks as well as to “sign out,” for your safety and the safety of our staff. If you require use of photocopiers or microform printers while in the closed stacks, you must “sign out” of the stacks. For statistical purposes please stop at the desk to sign out any materials you exit the stacks with. Current faculty and staff of Nazareth College may borrow periodicals for a loan period of two weeks.

Borrowing Materials from Other Libraries

Books and photocopies of articles may be obtained from other libraries through the interlibrary loan service. Requests for interlibrary loans are placed and tracked in ILLiad on the Library web site. Interlibrary loans generally arrive within four to ten days, though some items may take considerably longer to obtain and articles frequently arrive sooner. The library usually assumes any costs incurred. Faculty members requiring interlibrary loans as part of externally funded research are asked to pay any fees charged by the lending libraries.

In addition, faculty and graduate students may borrow books directly from many of the other libraries in the Rochester area through the Access Program of the Rochester Regional Library Council. Rules and regulations for this program, a list of participating libraries, and an Access card may be obtained at the main floor Circulation Desk.

Placement of Materials on Reserve

Books, journal articles, and other print materials may be placed on reserve in the Reserve/Interlibrary Loan/Serials Department. Media materials may be placed on reserve at the Media Center circulation desk. Items to be placed on reserve should be brought to the appropriate area at least one week before you want the materials to be available for use. Books and videos acquired through interlibrary loan may not be placed on reserve without written permission to do so from the lending library.

Articles, book chapters, and other relatively brief print documents will be placed on electronic reserve. Books placed on reserve may be designated for library use only or for overnight/weekend loan. Media reserve materials are designated for library use only.

Assignments

Prior to any assignment involving library research, please consider discussing it with one of the reference librarians. When many students try to use the same reference book or journal article, the likelihood of loss of or damage is high and the resulting frustration great. With advance planning, sufficient materials can be identified, acquired if need be, and placed on reserve when appropriate. The reference librarians also will be better able to assist your students if they understand the learning objectives as well as the requirements for an assignment. We encourage you to provide them with copies of handouts for assignments involving library research.

Catalog

The library catalog, WebPAC, is available on the Library web site. The system is easy to use without instruction for basic searching by author, title, subject or keyword. If you plan to make extensive use of the WebPAC, you may find it helpful to ask a reference librarian for instruction on advanced search techniques.

Online Bibliographic Searching / Electronic Services

The Library licenses access to many electronic databases providing citations for materials, full-text articles or documents, data, and images. Links to these databases are provided on the Library web site, organized both by subject and by database name ). Most of these databases can be used from off-campus as well as on-campus. Please feel free to ask a reference librarian for an orientation to databases of potential interest to you.

Our reference librarians have access to hundreds of additional electronic databases on a pay-per-search basis. As appropriate they will search one or more of these databases without charge for faculty members, members of the administration and administrative staff, and currently registered students. Faculty members requiring such online searching as part of externally funded research are asked to pay the costs.

Library Instruction

While many entering Nazareth students receive basic library orientation as a component of their Freshman Seminar, it often is useful to have one of the reference librarians present specialized instruction in a specific subject area prior to a library research project. Well over one hundred of such sessions are presented each academic year. Please allow sufficient time for preparation of needed instructional materials and lesson plans. The College is committed to exploring ways of helping as many students as possible become ”information literate,” and we appreciate the cooperation of all faculty members. Media Center Services

Faculty members who plan to use the services of the Media Center (located on the lower level of the Library) should discuss their needs with members of the Media Center staff. Media Services include:
• Video and film booking arrangements
• Color copying/printing, poster printing, and other production services
• Satellite and off air recording; videoconferencing
• Equipment and materials delivery
• Equipment operation and instruction
• Media room reservations
• Media collection circulation
• Audio and video recording and duplication
• Adaptive technology equipment

Photocopy Services

There are four self service photocopy machines in the Library two on the main floor and two on the lower level, both areas include one black & white and one color/black & white copier. All provide letter and legal sized paper as well as reduction and enlargement copying. Coin/bill operation costs 10¢ per black & white copy and 25¢ per color copy, or you may use your NazCard on either black & white only copier at 8¢ per copy. Additional funds may be added to existing NazCard accounts at the main floor Circulation Desk.

Central photocopy services to meet classroom photocopy needs of faculty members are located in Smyth Hall. Some academic departments have a departmental NazCard at the main floor Circulation Desk for faculty in-library black & white photocopying – the decision to provide this service is made by the individual academic departments, not by the Library.

The Reserve/Interlibrary Loan/Serials Department provides microform reader-printers free-of-charge for registered Library users. Poster printing and networked color copying/printing are offered through the Media Center with prices posted on the Media Center's Supply Price List.

Photocopier users are responsible for adherence to copyright regulations.
